A highly organised, detail-oriented, and proactive Administrative Officer is sought to support the Executive Office and ensure seamless, professional management of daily administrative operations.

Key Responsibilities
Executive Support & Office Management
  • Oversee and maintain the Executive Office to ensure smooth daily operations and a professional work environment.
  • Provide high-level administrative support to the CEO and senior management, including managing diaries, coordinating meetings, and scheduling appointments.
  • Prepare meeting agendas, record accurate and professional minutes, and track follow-up actions.
  • Uphold discretion and strict confidentiality in all matters related to executive and organisational activities.
Travel Coordination
  • Arrange comprehensive travel plans for executives and staff, encompassing flight bookings, accommodation, ground transport, and detailed itineraries.
  • Ensure compliance with BARSA’s travel policies while managing related documentation and reconciliations.
Financial & Bookkeeping Support
  • Assist with basic bookkeeping tasks, such as reconciling bank statements, managing petty cash, and tracking monthly expenditure.
  • Organise and file expenditure receipts to ensure accurate recordkeeping for monthly processes and audits.
  • Provide administrative support to the Finance function by preparing supporting documentation and reconciliation reports as needed.
Office & Stock Control
  • Manage stock levels for stationery, kitchen supplies, and refreshments, ensuring timely and efficient replenishment.
  • Obtain quotes, place orders, and liaise with suppliers in accordance with BARSA’s procurement and cost-control procedures.
Correspondence & Communication
  • Handle all incoming and outgoing correspondence, including emails, telephone calls, and written communication, ensuring professional and timely responses.
  • Draft, proofread, and distribute letters, memos, and reports on behalf of the Executive Office.
  • Act as the primary point of contact for internal and external stakeholders, delivering professional and courteous assistance.
Records & Filing
  • Maintain structured electronic and manual filing systems to ensure secure, accessible, and up-to-date records.
  • Manage databases, registers, and administrative trackers to support effective information management.
General Administrative Support
  • Coordinate logistics for meetings, workshops, and events, including venue arrangements, catering, and material preparation.
  • Support the implementation of administrative systems and procedures to enhance operational efficiency.
  • Provide cross-functional administrative assistance as required.
Qualifications & Skills
  • Matric certificate (essential); a Diploma or Certificate in Office Administration, Business Management, or a related field (advantageous).
  • Minimum of 3 years’ experience in an administrative or executive support role, preferably in a corporate or professional environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organisational, time management, and multitasking skills.
  • High attention to detail, accuracy, and professionalism.
  • Excellent written and verbal communication abilities.
  • Discreet, reliable, and capable of handling sensitive information with confidentiality.
