The Provincial Administration: North West Department of Cooperative Governance and Traditional Affairs is inviting applications for positions within the Public Participation component. 1. Administrative Officer: Public Participation

Job Purpose

The successful candidates will be responsible for administering and managing the Complaints and Complements programme. The role involves supporting public participation activities, monitoring cases, maintaining accurate information and assisting with the implementation of complaint management procedures.

Minimum Requirements

Applicants must have:

  • A three-year tertiary qualification in Management Assistant at NQF Level 6 and/or an equivalent qualification.
  • At least two years’ experience in public service, customer care and public administration.
  • A valid driver’s licence.
  • Willingness to travel.

Duties and Responsibilities

The Administrative Officer will be responsible for coordinating public participation meetings, interventions and outreach activities. This includes assisting with the planning and coordination of activities designed to engage communities and stakeholders.

The successful candidates will also compile public participation activity reports and collect and analyse performance reports from Operators for the preparation of weekly reports.

Other responsibilities include identifying, documenting and alerting management to trends in customer-related matters. The position requires careful verification of the accuracy and integrity of information captured on the Public Participation database.

Daily quality assurance of cases captured on the system will form part of the role. The officer will assess information, recommend appropriate action and assist with the follow-up and closure of cases.

The successful candidate will also facilitate the implementation of provincial complaint management procedures and processes in accordance with approved policies.

Monitoring adherence to Standard Operating Procedures by Operators and Frontline Staff will be conducted on a daily and weekly basis.


2. Administrative Clerk: Public Participation

Job Purpose

The Administrative Clerk will provide clerical and administrative support to the Public Participation component. The position involves supporting community participation programmes, maintaining records and databases, coordinating meetings and assisting with stakeholder engagements.

Minimum Requirements

Applicants must have:

  • Grade 12 and/or an equivalent qualification recognised by SAQA.
  • Computer literacy.

Candidates should have knowledge of:

  • Legislation, policies, prescripts and procedures applicable to the Public Service.
  • Customer care.
  • Public administration.
  • National, provincial and local government structures and relations.
  • Community structures.
  • Programme and project management.

The ability to work under pressure and meet deadlines is important. Candidates should also be able to work with all spheres of government and other stakeholders.

Knowledge or experience in minute taking and report writing will also be relevant to the position.

Duties and Responsibilities

The Administrative Clerk will provide administrative support for public participation programmes and assist with coordinating public meetings, outreach campaigns and stakeholder engagements.

Responsibilities will include preparing and maintaining attendance registers, agendas and meeting minutes.

The successful candidate will maintain stakeholder and community databases and assist with the implementation of community participation projects.

The position will also involve preparing reports and correspondence relating to public participation activities.

The Administrative Clerk will liaise with communities, ward committees, government departments and other stakeholders. Maintaining accurate records and filing systems for public participation activities will also be part of the role.

Candidates should be organised, able to communicate effectively and capable of handling administrative duties while meeting required deadlines.
