Job Purpose
The Logistics Officer will be responsible for coordinating and providing effective logistics and supply support services to SAWS Technical Services.
The position focuses on inventory and warehouse management, asset and stock control, logistics coordination and supporting infrastructure maintenance and operational service delivery.
The successful candidate will be expected to maintain accurate logistics records, ensure the availability and proper control of required materials and assets, coordinate logistics activities with internal and external stakeholders and ensure compliance with relevant Supply Chain Management (SCM), Public Finance Management Act (PFMA), health and safety and organisational requirements.
The role requires a person who is organised, reliable, detail-oriented and capable of managing logistics activities accurately while working with different stakeholders.
Key Responsibilities
Logistics, Inventory and Warehouse Management
The Logistics Officer will be responsible for receiving goods and verifying quantities and supporting documentation against approved orders and delivery documents.
The successful candidate will capture goods received and stock transactions accurately on NetSuite and submit transactions for the required review.
Materials must be stored in designated bin locations, with accurate bin-card and electronic inventory records maintained. The position will also involve issuing stock to authorised internal users and ensuring that inventory records are updated promptly.
The successful candidate will monitor stock levels and initiate replenishment requirements in accordance with approved processes. Slow-moving, redundant, damaged or obsolete stock must be identified and reported.
The role will further involve participation in periodic stocktaking exercises and assisting with the investigation and resolution of inventory variances.
Proper warehouse housekeeping, storage, security and safety standards must be maintained. The Logistics Officer will also maintain accurate inventory documentation and prepare stock reports when required.
SCM Administration, Governance, Risk and Compliance
The position includes responsibility for processing and assisting with the preparation and generation of purchase orders on NetSuite in accordance with approved procurement requirements.
The successful candidate will follow up outstanding orders with suppliers and service providers and communicate delivery updates to relevant internal stakeholders.
Complete and auditable documentation must be maintained for logistics and SCM transactions.
The Logistics Officer will be required to apply PFMA requirements, Treasury Regulations, SCM prescripts, organisational policies, procedures and delegated authorities within the scope of the position.
The successful candidate must identify and escalate exceptions, non-compliance, discrepancies and control weaknesses.
The position will also support audit readiness by ensuring that records are accurate, complete and easily retrievable.
Risk identification and mitigation relating to inventory, logistics and asset-control activities will form part of the responsibilities. Compliance with occupational health and safety and quality requirements will also be required.
Operational and Infrastructure Logistics Support
The Logistics Officer will coordinate the availability and movement of materials, equipment and other resources required for maintenance and operational activities.
The successful candidate will monitor and report on logistics-related assets and materials supporting infrastructure operations.
Logistics requirements for inspections, installations and authorised field activities will need to be coordinated effectively.
The position will also provide support to operational teams with the movement, dispatch and return of equipment and materials while ensuring that the required documentation and controls are in place.
Accurate records relating to assets, materials and logistics activities within the relevant unit and regional offices must be maintained.
Where required, the Logistics Officer will assist with inspections to verify logistics-related activities against documented requirements.
Health, safety, environmental and site-access requirements must be followed during field activities.
Logistics Coordination
The role will involve coordinating return and condition checks and recording exceptions for escalation.
Goods and parcels must be packaged appropriately to minimise the risk of damage during transportation.
The successful candidate will complete or coordinate waybills and distribution or collection arrangements.
Logistics consignments must be tracked, with delivery updates provided to internal users.
The Logistics Officer will also maintain logistics documentation and escalate delays, losses, damage and other exceptions when they occur.
Stakeholder Service and Continuous Improvement
The successful candidate will maintain professional relationships with internal users, regional offices, operational teams, SCM and Procurement, Finance, suppliers and service providers.
Clear and timely communication regarding orders, stock, logistics activities and delivery status will be required.
The position will also involve preparing routine logistics reports and providing accurate information to management to support decision-making.
Candidates should be able to identify recurring logistics problems, inefficiencies and control gaps and recommend practical improvements.
The role will contribute towards improved inventory utilisation, reduced waste, timely procurement and more efficient logistics processes.
Participation in process improvement and quality management initiatives will also be expected.

Knowledge of asset management and control principles, distribution and dispatch processes and records and document management requirements will be beneficial.
An understanding of occupational health and safety requirements applicable to logistics activities is also required.
Knowledge of quality management, continuous improvement principles, ERP systems and the NetSuite environment will be advantageous.

Technical and Functional Skills

Relevant skills include warehouse management, stock reconciliation, stocktaking and variance investigation.

Experience in asset management and record control, logistics planning and coordination, data capturing, validation and reporting will be beneficial.
The successful candidate should also be able to manage records and documentation, conduct basic logistics data analysis and prepare reports.
Compliance monitoring, audit readiness practices and quality control and inspection procedures are additional requirements.
Proficiency in Microsoft packages is also required.
Minimum Education and Training
Applicants must have one of the following:
- Diploma or National Diploma in Supply Chain Management, Logistics Management, Procurement or a related field.
- A degree in Supply Chain Management, Logistics Management, Procurement or a related field is recommended and will be an added advantage.
- Training in NetSuite or other ERP systems, inventory and warehouse management, SCM compliance, PFMA and Treasury requirements, and occupational health and safety will be advantageous.
Minimum Work Experience
Candidates must have at least 2 to 3 years of relevant work experience in one or more of the following areas:
- Logistics
- Inventory management
- Warehouse management
- Supply Chain Management administration
- Related operational support
