REQUIREMENTS:

Job related knowledge: Knowledge of clerical duties, practices as well as the ability to capture data, operate a computer and collect statistics. Knowledge and understanding of the legislative framework governing the Public Service. Knowledge of working procedures in the working environment.
Job related skills: Language skills, good communication (verbal and written), planning and organising, computer literacy, interpersonal relations, flexibility, and ability to work within a team.
DUTIES:
Render general clerical support services. Record, organise, store, capture and retrieve correspondence and data (line function). Update registers and statistics. Handle routine enquiries. Make photocopies and receive or send facsimiles. Distribute documents/packages to various stakeholders as required. Keep and maintain the filing system. Type letters and other correspondence when required. Maintain the incoming and outgoing registers. Take and draft minutes.
Supply chain support: Liaise with internal/external stakeholders for procurement of goods and services. Obtain quotations and complete procurement forms. Stock control of stationery. Maintain asset register.
Personnel administration: Maintain leave register, personnel records, and attendance register. Arrange travel and accommodation.
Financial administration: Capture and update expenditure. Check correctness of S&T claims and submit for approval. Handle telephone accounts and petty cash.

REQUIREMENTS
Must have Grade 12 (Matric). No experience required.
Knowledge: Registry duties, practices, data capturing, computer operation, public service legislation, storage and retrieval procedures, understanding of registry environment.
Skills: Planning and organising, computer literacy, language skills, good verbal and written communication, interpersonal relations, flexibility, teamwork.
DUTIES
Provide registry counter services. Attend to clients and enquiries. Receive and register hand-delivered mail/files.
Handle incoming and outgoing correspondence: receive, sort, register and dispatch mail. Distribute notices.
Render effective record management: open/close files, filing, storage, tracing (manual/electronic), retrieve documents, complete index cards.
Operate office machines: maintain franking machine register, frank post, record money, update register, conduct spot checks, lock post for messengers.
Maintain remittance register: record valuable articles, hand over to finance, send wrong remittances back via registered post, record reference numbers. Keep daily record of franked letters.
Process documents for archiving/disposal: scan files electronically, sort and package files, compile archive lists, maintain archive records.
