The Production Data Administrator plays a critical role in managing production data and generating accurate, timely reports to support operational decision-making and drive continuous improvement. Primary Role
The Production Data Administrator ensures that production data is accurately collected, verified, and reported in a timely manner. This involves cross-referencing multiple data sources, including SCADA trends, WhatsApp group updates, logbooks, and databases, to validate data integrity. The role maintains structured, auditable records of production activity, forming the foundation for operational reporting, process monitoring, management reporting, and data-driven decision-making. By dedicating a skilled professional to this function, RST ensures consistent, reliable, and actionable production reporting.

Key Responsibilities

  • Collect, verify, and input production data from log sheets, Excel files, and other sources within specified timelines.
  • Identify and resolve data anomalies or irregularities by collaborating with Shift Foremen or Supervisors.
  • Maintain organized digital and physical filing systems for daily and shift logs.
  • Update daily production reports and maintain accurate spreadsheets.
  • Assist in preparing summary reports and contribute to monthly production reporting.
  • Support material tracking and tracing to ensure operational efficiency.
  • Ensure consistency, completeness, and traceability of all production records.
  • Cross-check records to uphold data accuracy and reliability.
  • Collaborate with production and technical teams to enhance data quality and streamline processes.
  • Provide feedback to support the transition to advanced digital data systems, contributing to process improvements.
  • Participate in training initiatives to upskill team members on data management best practices (new idea to emphasize professional development).

Minimum Requirements
Education

  • Grade 12 or equivalent with Mathematics and/or Science.
  • A post-school qualification (certificate or diploma) in administration, data management, production support, or a technical field (e.g., operations, process control, quality, or instrumentation).
  • A Diploma in Industrial Engineering or a related field is highly advantageous.

Experience

  • 2–3 years of experience in data entry or administrative support within a business or production environment.
  • Experience with paper-based records, Excel spreadsheets, or shift data is a strong advantage.
  • Familiarity with manufacturing, smelting, or mining operations is beneficial but not essential.

Competencies and Skills

  • Exceptional attention to detail and a methodical approach to data management.
  • Ability to identify inconsistencies, proactively follow up with production staff, and escalate issues when necessary.
  • Proficiency in Microsoft Excel (e.g., sorting, filtering, VLOOKUP, pivot tables).
