SAHPRA Vacancy: Admin Screener (Radiation Control)

The South African Health Products Regulatory Authority (SAHPRA) invites interested and suitably qualified candidates to apply for the position of Admin Screener: Radiation Control (X-Ray Licensing) based in Cape Town. This role offers a salary package of R309 253.00 – R328 223.00 per annum (Total Cost to Company) and requires applicants with Matric (NQF Level 4), supported by post-matric certification or a diploma and 1–2 years of administrative experience, including proficiency in MS Office, email correspondence, office administration, and filing. Basic knowledge of radiation control will be an added advantage.

The successful candidate will provide administrative screening support by uploading and logging electronic applications, capturing details into databases, screening submissions against checklists, and liaising with applicants and managers regarding omissions or corrections. Additional responsibilities include ensuring compliance with Standard Operating Procedures, managing electronic data storage systems, coordinating unit meetings, arranging travel, following up on outstanding information and inspection reports, and assisting with risk, audit, and enquiry management. REQUIREMENTS:
  • Matriculation (NQF Level 4)

  • Basic radiation control knowledge will be an added advantage

DUTIES:
Screening Administrative Support:
  • Upload applications and related documentation in accordance with SOPs
  • Receive and log electronic applications from industry
  • Capture relevant details into the database as per SOP
  • Screen applications using a screening checklist and note omissions
  • Send incomplete or incorrect application forms back to applicants for correction
  • Assess applications against the relevant electronic administrative checklist
  • Submit administrative queries resulting from screening to the relevant manager
  • Send screened licence applications to the technical reviewer before licensing
Administrative Support and Compliance:
  • Ensure the business unit complies with approved Standard Operating Procedures
  • Manage and update the electronic data storage system
  • Manage communication from the unit manager and follow up on tasks
  • Arrange travel and accommodation for the unit
  • Schedule unit meetings and workshops
Follow-up of Outstanding Information and Inspection Report Responses:
  • Follow up outstanding information on received application forms within 5 working days
  • If no response, make a telephone call
  • If still no response within 5 working days, discuss plan of action with the Assistant Manager or Deputy Manager
  • Once inspection reports are emailed by the inspector to the licence holder:
    • Allow 30 days from the report date
    • Send reminders via email within 3 days of the pending date
Management of Risk and Audit Queries:
  • Confirm inspection dates and ensure inspection reports are sent timeously
  • Issue pending files to inspectors for follow-up and ensure filing tasks are completed
  • Keep document management systems up to date
  • Manage office equipment and consumables
  • Handle enquiries from the public and licence holders effectively
