This Driver / Messenger position forms part of the Governance Division and plays a vital operational role in ensuring that documentation, parcels, and essential materials are transported safely and efficiently to support the Fund’s daily operations.

Purpose of the Position

The primary purpose of the Driver / Messenger is to provide safe, reliable, and efficient transportation of people, documents, mail, and goods within the assigned area. The incumbent will ensure strict adherence to road safety regulations, company policies, and operational procedures.

This role requires a high level of responsibility and accountability, as the Driver / Messenger often handles confidential documents, official correspondence, and important materials that directly impact service delivery. The successful candidate must demonstrate professionalism, integrity, punctuality, and attention to detail at all times.

The position also requires compliance with national road safety rules and regulations, regular vehicle inspections, accurate reporting of incidents, and adherence to scheduled delivery times. In addition, the Driver / Messenger will assist with administrative support functions related to document management and records handling.

Key Responsibilities

Messenger Services

The Driver / Messenger will:

  • Collect correspondence from various government institutions and verify documents against collection lists before acknowledging receipt.
  • Deliver packages, parcels, and official messages accurately and within stipulated timeframes.
  • Ensure all packages and documentation are handled carefully to prevent damage or loss.
  • Drive the delivery vehicle to designated destinations while following all traffic laws and safety procedures.
  • Reconcile packages upon delivery and obtain necessary signatures or official receipts.
  • Maintain communication with both the point of departure and destination to ensure transparency and coordination.
  • Record all daily visits and activities in the official logbook.
  • Sort delivery items according to routes to maximise efficiency and reduce delays.
  • Confirm completion of deliveries by reporting back to the office after each assignment.
  • Deliver documents to the Document Services Department for further distribution in line with standard operating procedures (SOP).
  • Plan delivery routes in advance to ensure optimal use of time and resources.

This function is essential in maintaining operational continuity within the organisation.

Administrative Support

In addition to transportation duties, the Driver / Messenger will support administrative processes, including:

  • Monitoring the availability of messenger services to ensure continuous support to financial institutions, government departments, and clients.
  • Assisting in archiving scanned files and documents in accordance with the National Archives Act and RAF Records Management strategies.
  • Sorting documents according to classification standards and inserting them into the appropriate filing systems.
  • Preparing and capturing records for transfer to off-site storage facilities.
  • Maintaining accurate logs of records transferred to storage.
  • Tracking updates on record files stored off-site.
  • Managing departmental record inventories, including file plan reference numbers and retention schedules.
  • Completing final disposition logs for destroyed records in compliance with records management policies.
  • Ensuring that branch postal services operate efficiently.
  • Providing document binding and copying services in a timely manner.
  • Ensuring that requests for document duplication or binding are processed efficiently and accurately.

Transport & Operational Duties

The role includes:

  • Loading and unloading organisational materials, merchandise, and documents.
  • Safely transporting products, materials, and staff members where required.
  • Identifying electrical or mechanical faults in vehicles and reporting them promptly to the Facilities Manager.
  • Ensuring compliance with safety protocols during all transport activities.

Vehicle, Machinery & Equipment Maintenance

The Driver / Messenger will:

  • Conduct daily pre-trip and post-trip inspections of vehicles to ensure roadworthiness.
  • Check fuel levels, tyre pressure, oil levels, lights, brakes, and other safety components.
  • Ensure vehicles are clean, well-maintained, and presentable at all times.
  • Report any mechanical issues immediately to avoid safety risks.
  • Ensure copying, binding, and franking machines are functioning properly.
  • Coordinate with supervisors when technical servicing is required.

Regular inspections help prevent accidents, breakdowns, and costly repairs.

Reporting Responsibilities

Accurate and timely reporting is a key part of this role. The Driver / Messenger must:

  • Report vehicle defects, accidents, traffic violations, or damages immediately.
  • Maintain accurate vehicle logbooks in accordance with Fleet Management Policy.
  • Report unexpected delays that may impact delivery schedules.
  • Report on maintenance of the franking machine, including loading of funds.
  • Notify supervisors immediately of major equipment faults requiring external service provider attention.

Mail Processing & Management

The Driver / Messenger will also manage incoming and outgoing mail by:

  • Receiving, registering, and stamping correspondence.
  • Sorting incoming documents and faxes by destination.
  • Filing documentation according to policy and procedure.
  • Preparing outgoing mail for posting and bulk distribution.
  • Recording details of registered and Docex mail.
  • Declaring and recording monies received.
  • Ensuring correct dispatch of Docex, normal, and registered mail.

This ensures effective document tracking and secure communication within and outside the organisation.

Minimum Requirements

Qualifications

  • Matric / Grade 12 certificate.
  • Valid Code 10 (EC1/EC) driver’s license.
  • Professional Driver’s Permit (PDP).

Experience

  • Minimum of 1 year experience in a driving or messenger services environment.
  • Experience handling confidential documents will be advantageous.
