The position is suitable for an experienced administration, logistics, eCommerce, supply chain or operations professional who has strong organisational skills and experience working with suppliers, couriers, online orders, databases, spreadsheets and administrative systems.
The successful candidate will report directly to the Head of eCommerce and will provide administrative, logistics, systems and operational support to the eCommerce function.

Minimum Requirements

A Matric certificate or NQF Level 4 qualification is required. Candidates must also have a relevant certificate or diploma in an appropriate field such as Administration, Logistics, E-Commerce, Supply Chain, eCommerce or Commerce.
Additional short courses or online certifications may be advantageous, particularly qualifications or training related to administration, logistics, supplier management, budgeting or related areas.
The position requires candidates with three to five years of relevant experience in a coordination, logistics, supplier-management or operations support role. Experience should preferably have been gained within an eCommerce, online retail or marketplace environment.
Relevant experience may include coordinating suppliers, couriers and service providers, managing deliveries and logistics, following up with suppliers, preparing quotations, purchase orders and requests for quotations, tracking budgets and costs, and processing or following up on supplier invoices and payments.
Experience with reports, databases, trackers, schedules, calendars, customer communication, data capturing, invoice reconciliation and marketplace order processing is also required.
Computer and Technical Skills
Strong computer skills are important for this position. Candidates should be proficient in Microsoft Office and Google Workspace, particularly Microsoft Excel and Google Sheets at an intermediate level.
The successful candidate should also have a basic understanding of financial and commercial concepts, including:

Knowledge of eCommerce and logistics systems will be advantageous.
Experience or familiarity with platforms such as WooCommerce, Shopify or Takealot may be beneficial. Knowledge of courier or fulfilment platforms such as BobGo may also assist with the duties of the position.
Candidates with knowledge of exports, customs, HS Code Tariffs and Duties, inventory management, forex and customs documentation may have relevant additional experience for the role.
A valid driver’s licence is required, together with a willingness to travel. Having access to own transport will be advantageous.
Key Responsibilities
The eCommerce Logistics & Systems Administrator will perform a wide range of administrative, logistics, eCommerce and systems-related duties.
1. Order and Logistics Coordination
A major responsibility will be coordinating online orders from the point of placement through to dispatch and final delivery.
The successful candidate will process online orders accurately and efficiently and coordinate with couriers and delivery partners to arrange collections, dispatches and shipment tracking.
Communication with members and the warehouse team will be required to confirm stock availability and ensure that orders are collected and fulfilled within the required delivery timelines.
The role will also involve assisting with stock from different suppliers, including dropshipped, hybrid and local in-house stock. Accurate and up-to-date inventory records must be maintained.
Orders in progress will need to be monitored, with delays followed up and delivery or collection problems resolved or escalated where necessary.
The position will also involve coordinating returns, exchanges and replacements according to applicable store policies.
Courier and delivery quotations will need to be compared to determine suitable and cost-effective options for individual orders. Courier charges will also need to be checked against agreed rate cards, with billing discrepancies followed up with the relevant courier.
2. Administration and Reporting
Administrative duties will form an important part of the position.
The successful candidate will prepare requests for quotations and obtain supplier and courier quotations. Professional correspondence will also need to be drafted and sent to suppliers, members and other stakeholders.
Supplier and courier invoices will need to be tracked and processed, while payment follow-ups will be conducted to help ensure that service providers are paid on time and within the department’s allocated budget.
The position also involves reconciling supplier, courier and forex invoices against agreed rates, duties and pricing and investigating discrepancies.
Accurate records, trackers and schedules must be maintained for orders, stock, deliveries and supplier information.
The successful candidate will track costs against the budget and assist with cost comparisons and reconciliations.
Product, pricing and supplier information will also need to be reformatted and cleaned up in Excel or Google Sheets for importing and reporting purposes.
Basic pricing, mark-up and VAT calculations will be applied when preparing product and cost information.
Operational reports will be compiled on a weekly, monthly, quarterly, annual and ad hoc basis. These reports may include information relating to orders, deliveries, stock and members.
The role will also involve maintaining databases containing information about members, suppliers, couriers and partners, as well as providing general administrative support to the line manager.
3. Product Listing and Data Administration
The position will involve monitoring and updating product listings on the Shop Proudly SA online store.
Product descriptions, specifications, pricing and images must be kept accurate. Regular catalogue checks will be conducted to identify and correct errors or inconsistencies.
Product and supplier information will be captured and reformatted accurately into the online store and supporting spreadsheets.
Quality checks will be conducted on product and supplier feeds, including enabling or disabling supplier items when required.
Stock levels across different categories will be monitored, and stock breakdowns and reports will be prepared.
The successful candidate may also assist with import and forex documentation for incoming stock, including researching relevant tariff and duty codes.
Low-stock and out-of-stock products must be identified and reported to the relevant member and line manager.
4. Supplier, Member and Stakeholder Liaison
The successful candidate will communicate with Proudly South African members, suppliers, couriers, service providers and customers.
The role requires professional communication and the ability to maintain effective working relationships with different stakeholders.
Members may require assistance with listing and supplying their products on the online store. The position will therefore support members and coordinate participation in store campaigns and promotions.
Customer, supplier and member queries will be handled through email, chat and telephone.
Contact and product information will need to be kept accurate and up to date.
The position will also coordinate customer and vendor satisfaction surveys on a quarterly basis and when required.
5. Coordination and Planning Support
The successful candidate will maintain timelines and plans for product launches, catalogue updates, promotions and store campaigns.
Support will also be provided for online and in-person campaigns and promotions in cooperation with the marketing team where necessary.
The role requires candidates who can identify operational issues and assist with resolving problems before they affect eCommerce operations.
6. Systems and Process Support
The position will require the successful candidate to work across multiple systems, including the online store back-end, courier portals, marketplace dashboards and spreadsheets.
Information must remain accurate and consistent across different systems.
The successful candidate will also liaise with development and systems teams regarding store problems, new features and troubleshooting.
Testing and checking system changes before they become operational may form part of the responsibilities.
The role also provides an opportunity to identify and suggest improvements to administrative, data and logistics processes.
General Responsibilities
Additional duties include reporting non-conformances, complaints and operational challenges to the line manager.
The successful candidate will also be expected to remain informed about developments in online retail, marketplace operations, delivery practices and relevant regulatory requirements in South Africa and internationally.
Other reasonable ad hoc duties may be assigned as required.
