About SE Holdings Agro-Processing

SE Holdings is a South African agribusiness and farmer-development company with an agro-processing business that is establishing a new bean cleaning facility.

The facility will receive dry beans from farmers, clean and grade the beans, pack the finished products and deliver them to food manufacturing customers. The operation is being developed around strong standards for food safety, traceability, accurate recordkeeping and disciplined processes.

The Facility Administrator / Data Clerk will contribute to the smooth running of the facility by ensuring that important administrative and operational information is captured accurately, maintained properly and made available when required.

Purpose of the Role

The purpose of the Facility Administrator / Data Clerk position is to provide reliable administrative and data-capturing support across the bean cleaning facility.

The successful candidate will be responsible for maintaining records relating to production, quality, stock, farmer deliveries, staff attendance and customer dispatches. The role requires a person who is organised, accurate and comfortable working with large amounts of information.

Attention to detail will be particularly important because the information captured will support operational reporting, stock management, payroll inputs, purchasing, supplier administration and audit requirements.

Key Responsibilities

The Facility Administrator / Data Clerk will be responsible for a range of administrative and data-related duties, including:

  • Capturing receiving information accurately and on time.
  • Recording production information and maintaining production-related records.
  • Capturing quality information and ensuring that relevant records are properly maintained.
  • Recording and updating stock information.
  • Capturing dispatch and delivery information.
  • Maintaining accurate farmer and supplier records.
  • Keeping delivery and payment information up to date.
  • Preparing daily operational reports and summaries.
  • Preparing weekly reports and summaries for management.
  • Maintaining staff time and attendance records.
  • Preparing information and inputs required for payroll processing.
  • Filing forms and maintaining an organised document management system.
  • Ensuring that records remain complete, accurate and audit-ready.
  • Tracking open actions and following up on outstanding matters.
  • Recording and monitoring incidents, complaints and corrective actions.
  • Supporting purchasing administration and requisitions.
  • Assisting with supplier invoice administration.
  • Following up with responsible employees when information is missing, incomplete or inconsistent.
  • Protecting confidential business, employee and customer information.
  • Handling personal information in accordance with the Protection of Personal Information Act (POPIA).
  • Providing general administrative support to the Bean Cleaning Facility Manager and facility operations.

The role requires consistent attention to accuracy because incorrect or missing information can affect stock records, production reporting, supplier administration, payroll inputs and operational decision-making.

Minimum Requirements

Candidates applying for the Facility Administrator / Data Clerk position must meet the following minimum requirements:

  • Grade 12 / Matric
  • A Grade 12 (Matric) qualification is required.
Office or Business Administration Qualification
  • Candidates must have a certificate or diploma in Office Administration, Business Administration or a related field.
Administrative or Data-Capturing Experience

At least 2 years of administrative or data-capturing experience is required.

Previous experience should demonstrate the ability to work with records, capture information accurately, maintain files and provide administrative support.

Computer Skills

Good Microsoft Excel skills are required. Candidates should be comfortable working with Excel functions such as:

  • Formulas
  • Filters
  • Pivot tables

Working knowledge of Microsoft Word and Outlook is also required.

  • A valid Code B (08) driver’s licence.
