Key Duties and Responsibilities
The appointed Security Officer will be responsible for a range of security and access-control functions at the department’s Head Office.
Access Control
A major responsibility will be controlling access to the departmental premises. This includes determining whether visitors have appointments and identifying the service or department they require.
The Security Officer will contact the relevant employee to confirm appointments where necessary and direct visitors to the appropriate service delivery point. Visitors may also need to be escorted to relevant employees or venues.
The officer will complete or ensure completion of admission-control documentation and issue or manage access cards where required.
Other access-control responsibilities may include operating X-ray machines where applicable, locking and unlocking entrances, identifying suspicious conduct and preventing unauthorised persons or dangerous objects from entering the building.
Any suspicious incidents must be followed up and reported according to departmental security procedures.
Building and Premises Safety
The position also involves conducting regular patrols of buildings and premises to identify potential security and safety risks.
During patrols, the Security Officer may be required to check whether doors are properly locked or unlocked, depending on operational requirements, and identify problems that could compromise the safety of employees, visitors or departmental property.
Potential hazards that must be identified include water leaks, taps that have been left open, fire hazards, exposed electrical contacts, chemicals and other conditions that may create safety risks.
The officer may also be responsible for switching lights on or off when required and identifying suspicious objects, packages or other potential threats.
Emergency Procedures
Security personnel must be prepared to respond appropriately to emergency situations.
The duties include applying prescribed emergency procedures in situations such as bomb scares, riots and other incidents that may threaten people or property.
Where an emergency occurs, the Security Officer must alert the relevant emergency services and departmental security management and follow established procedures until the situation is appropriately addressed.
Protection of Departmental Assets
The Security Officer will also help ensure that departmental assets do not enter or leave the premises without proper authorisation.
This includes checking that assets leaving the premises are accompanied by the required documentation or bypass-out authorisation.
Vehicles entering and leaving the premises may also be inspected as part of established security procedures.
The officer will gather information and report incidents involving missing or stolen equipment, stores or other departmental property.
Documents presented at points of entry must also be handled according to their classification and applicable government security requirements.
Recording Security Incidents
All relevant security incidents must be properly recorded in occurrence books or registers.
Accurate recordkeeping is important because security incidents, suspicious activities, access-control issues, missing property and other occurrences may need to be reviewed or investigated.
Applicants should therefore be comfortable following written procedures, completing security records and reporting incidents to the appropriate officials.
