Key Responsibilities
Sales and Regional Support

The Sales Administration Coordinator will prepare, process and issue accurate customer quotations, invoices and orders within the required timeframes. Accuracy is important because these documents form part of the company’s customer-facing and financial administration processes.
The successful candidate will also provide regional sales support by assisting sales representatives with the preparation of quotations and pro-forma invoices. Delivery notes will also be managed for the Debtors Department where required.
Another responsibility involves assisting with customer credit applications. This includes completing customer credit application documentation and compiling the necessary supporting documentation and files.
The role therefore requires careful document management and regular communication with relevant departments to ensure that customer and sales administration processes are completed efficiently.
Tender and Vendor Management
The successful candidate will assist with the administration of tenders and procurement opportunities.
Responsibilities will include monitoring relevant procurement portals and identifying suitable opportunities. Once an opportunity has been identified, the coordinator will assist with compiling the required supporting documentation, coordinating internal approvals and ensuring that tender submissions are completed before the applicable deadlines.
A register of submitted tenders and their outcomes must also be maintained. Accurate recordkeeping will allow the department to monitor submissions and track results.
Vendor administration is another important part of the role. The successful candidate will register and maintain company profiles on customer procurement portals.
Monthly reviews and updates of vendor portal information will also be performed to ensure that company information remains accurate and compliant with customer requirements.

Customer Feedback and Annual Survey
The Sales Administration Coordinator will also be responsible for supporting customer satisfaction and feedback processes.

General and Departmental Administration
The position also includes general administrative and communication responsibilities.
The successful candidate will manage daily email correspondence professionally and ensure that internal and external enquiries are directed to the appropriate departments.
The role requires clear and professional communication when dealing with customers, colleagues and other stakeholders.
The Sales Administration Coordinator will also provide support to the Technical Manager with the preparation and distribution of training manuals.
Training certificates must be prepared and distributed to delegates after completion of training.
Additional corporate administration duties include maintaining the company telephone directory and organisational charts, also known as the Organogram.
The successful candidate will provide ad-hoc administrative support to the Sales and Marketing departments as required.
Accurate electronic and hard-copy filing systems must also be maintained to ensure that documents can be accessed and managed efficiently.
Additional administrative duties may be assigned by Management depending on departmental requirements.
