Position: Learning Administrator Global Grade 07

Location: Isando, Gauteng

Job Type: Permanent

Key Outputs

• Provide administrative support with regards to the implementation of the talent development strategy, policies and procedures.

• Be flexible to provide administration relief at the various learning sites as and when required by the Senior Administrator: Learning and/or the Manager.

• Ensure that records (both filing and electronic systems) are updated with correct documentation

• Assist with general and specific compliance activities related to all audits (internal audits and SETA audits) and related corporate governance requirements as and when required. Prepare the evidence documents for the Senior Administrator: Learning

• Provide administrative support to the learning team with regards to:

• Finance – preparing project payments (creating Payment Requisitions or Purchase Orders as per assigned role) and handling payment related queries,

• Supply Chain Management – assisting with department related procurement items, ensuring that project related contracts, invoices etc. are on file (electronic or hard copy as defined)

• IT – ensure that department related queries are resolved as and when required. Ensure that IT requirements for training venues are in place before training/workshops commence.

• General services – handle provider payments, stationary requirements for the department, asset register updates, obtaining courier services when required etc.

• Marketing – preparing marketing items for events, responsible for departmental- specific marketing items like banners and corporate gifts inventory etc.

• Travel bookings – as and when required by the various projects.

• Data capturing – capturing of learning registers and related administration to ensure completeness of records as per the defined business processes. This includes but is not limited to assisting with the annual submission of the Workplace Skills Plan and Annual Training Report

• Specific talent development processes such as – IDPs, Bursaries, Graduate development programme support, Other as required.

• Logistics management – organizing meeting/training rooms, refreshments for meetings / workshops as per the defined business process, liaise with suppliers/vendors (trainers, learning vendors, caterers, printers) to finalise logistics for training.

• Bookings – co-ordinate the successful delivery of classroom training including liaison with attendees, trainers, caterers etc. as per defined business processes.

• Secretariat support – organizing meetings, minute taking and distribution of minutes and agenda, technology requirements for meetings are organized as and when required

• Events support – preparation of events documents including register, name badges, branding requirements etc.

• Issue correspondence (letters, e-mails, faxes) approved by Senior Administrator: Learning

• Relieve Junior Administrator as and when required.

• Assist the broader team with ad hoc activities/ tasks related to the successful implementation of departmental duties, projects and related activities.

Qualification, Experience and Competencies

• Minimum required qualification: 
Matric. Or NQF Level 4 equivalent qualification (Social Science/Education/Commerce)
• Minimum required experience: 
At least three years administration experience would be advantageous
