The purpose of the job is to provide administrative and secretarial support to ensure effective and efficient service delivery in the Communications, Marketing & Stakeholder Relations sub-division.
As an Administrator, you will be responsible for:
- Co-ordinating and organising Fraud Waste & Abuse (FWA) appointments for external & internal meetings and events by providing administration & secretariat support to the FWA project:
-Scheduling meetings, preparing agendas, and circulating outcomes and all related information/documents
-Receive, prepare, manage, and distribute meeting packs, transcribe minutes of meetings, and distribute to relevant
members effectively and efficiently, adhering to the turnaround times.
-File and upload all documents on the filing system once signed off, for proper record keeping and for audit purposes.
-Manage communication by liaising with both internal and external stakeholders on the project and tasks. - Coordinating and tracking action items and deliverables across the various workstreams.
- Preparing reports, including drafting letters, memos, related to the FWA initiative.
- Supporting stakeholder management activities by maintaining contact databases, sending invitations, managing RSVPs, and handling FWA queries.
- Filing and organising records in accordance with agreed document management practices.
- Supporting the logistics of workshops, consultations, and unit engagements.
- Liaising with internal units to ensure timely follow-up on FWA-related tasks and deadlines.
- Assisting with procurement processes and requisitions.
- Assisting with adhoc tasks as delegated by the FWA Project Manager and performing any additional responsibilities or tasks according to specifications in line with FWA requirements.
SKILLS AND KNOWLEDGE BASE
The successful candidate will have the following essential qualifications, competencies, and skills:
- A National Diploma / Advanced Certificate in Administration or a relevant equivalent qualification at NQF Level 6;
- Minimum of two (2) years’ experience providing administrative/secretarial support; and knowledge of project management.
Training, Knowledge areas, Technical Skills, and Behavioural attributes:
- Professional Business communication, report writing, and minute-taking skills.
- Office administration and project administration knowledge.
- Attention to detail, assertiveness, ability to take initiative, time management, reliability, planning, organising & multi-tasking skills, flexible team player, adaptability, and self-starter.
- Strong interpersonal skills, ability to build rapport with diverse individuals and emotional intelligence.
- Proactive problem-solving skills, identify potential issues and resolve them effectively.
- Computer Literacy in MS Word, MS Excel, MS PowerPoint, MS Outlook, MS SharePoint & MS OneDrive, and the Internet.
- Knowledge of legislation that impacts the CMS function (PFMA & SCM regulations, POPI Act, etc.)
