The primary purpose of this position is to foster a warm and welcoming atmosphere for participants, staff, visitors, and callers, ensuring that all interactions are handled with efficiency and respect. Additionally, this role involves close collaboration with clinical and support teams to deliver comprehensive operational and administrative support.

Requirements

  • Grade 12 Certificate
  • A minimum of one year of experience in a reception, office administration, or a similar role 
  • At least 2 years research experience
  • Computer skills (Email, Microsoft Word, Excel, PowerPoint)
  • Excellent Communication (verbal and written) skills

Responsibilities:

Management of Reception area

  • Create warm welcoming environment for all participants, and visitors
  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Managing switchboard – answering, screening, forwarding calls and taking messages
  • Notify catering staff to prepare refreshments for participants
  • Keep reception area tidy and presentable
  • Receive and sort mail and deliveries

Research administration

  • Check co-enrolment
  • Update locator information
  • Schedule next visit
  • Assist study coordinators and research nurses in source document preparation
  • Ensure that all documents needed for each study visits are readily available in the participant file
  • Completeness check of visit check list
  • Be in contact with clinical team to alert them to arrival of participants
  • Prepare and send the daily report 

General Administration

  • Assisting with purchase orders, calling suppliers on available stock
  • Following up on delivery form suppliers and receiving orders
  • Photocopying
  • Preparation of participant folders
  • Ensuring clinical rooms are stocked adequately with study documents
  • Staff Timesheet to be collated, filed and captured on SAM for MRO and Health Park
  • Following up with HR and site line managers for outstanding timesheets
