Key performance areas
•Answer incoming calls, greeting callers, provide information, transfer calls and/or take messages as necessary
•Relay and divert calls to the appropriate staff members
•Relay and route written and verbal messages
•Answer simple questions relating to CHRU business, using appropriate reference materials
•Report telephonic and switchboard faults in a timely manner
•Welcome and greet visitors, log them in and out of the facility, and contact the relevant employee escort
•Direct employee visitors from syndicates scheduled for meetings, training and/or induction to the appropriate venue(s)
•Ensure that the Reception area is clean at all times
•Communicate with CHRU medical officers and study coordinators to ensure participants are directed accordingly
•Complete the participant flow chart on arrival of the participant
•Register new participants on biometrics and ensure registered participants clock in on biometrics scanner on arrival
•Capture and update the trial participants demographics on the database
•Capture the trial participant’s next visit for the appointment book
•Ensure correct payment is given to participant trial participants via cash or e-wallet payment system
•Compile a daily recon of transport money issued to trial participants
•Provide a daily recon of transport money issued to trial participants
•Provide a weekly recon of transport money issued to trial participants to the CHRU Finance department
•Send and complete data and airtime logs for trial participants and clinic staff
•Checking in and out of participants in the Redcap system
•Book the next appointment on the Redcap system
•Assist in the Archive Room when the administrator is off duty – retrieve and file trial participant files
•Book the consultation appointments for the private patients
•Receive consultation payments from private patients
•Medical aid billing for private patients and follow-up on non-payments
•Assist private patients with the completion of medical aid forms
•Faxing of scripts and lab results to the relevant medical aid
•Ensuring that the private patient files reach the Data Department for capturing
•Maintain and assist staff with the fax and photocopiers
•Receive and distribute courier parcels
•Take ownership and accountability for tasks and demonstrate effective self-management.
•Follow through to ensure that quality and productivity standards of own work are consistently and accurately maintained.
•Maintain a positive attitude and respond openly to feedback.
•Take ownership for driving own career development by participating in ongoing training and development activities.

Required minimum education and training
• Grade 12/Matric

Required minimum work experience and abilities
• Minimum 1-year experience as an Administrator

Desirable additional education, work experience and personal abilities
Basic computer skills with good Microsoft Excel and Word skills, basic data capturing skills, good command of the English language and other South African languages. Must have good customer and people skills.
