Job Purpose
The purpose of this role is to ensure the accurate capturing, maintenance, monitoring, and reporting of healthcare information within approved health information systems. The position contributes to effective decision-making, programme monitoring, patient management, and overall healthcare service delivery through the provision of reliable and timely data.
The successful candidates will be responsible for supporting healthcare facilities by ensuring that information received from clinicians and healthcare workers is accurately captured and processed in accordance with departmental standards and reporting requirements.
Minimum Requirements
Applicants must meet the following minimum requirements:
- National Senior Certificate (Grade 12) or an equivalent qualification.
- Computer literacy in:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Outlook
- Proof of computer literacy must be provided.
Added Advantages
Preference may be given to applicants who possess one or more of the following:
- Basic Routine Information System Certificate for Data Capturers obtained through the University of Pretoria (3535 programme).
- At least one year of experience working with:
- ART Tier.Net System
- District Health Information System (DHIS)
- Electronic TB Register (ETR)
- Previous experience in data capturing or information management.
- Valid driver’s licence.
Key Responsibilities
The successful candidates will be expected to perform a variety of data management and administrative duties, including but not limited to:
- Capturing healthcare data received from clinicians into approved health information systems on a daily basis.
- Ensuring the timely submission and processing of information within Tier.Net, DHIS, ETR, NET and related systems.
- Updating and maintaining health information databases and electronic records.
- Verifying the accuracy and completeness of captured information.
- Identifying missing, duplicate, or incorrect records and taking corrective action where necessary.
- Generating weekly, monthly, quarterly, and ad hoc reports as required.
- Printing and distributing reports to facility management and relevant stakeholders.
- Maintaining clean, accurate, and organized records and filing systems.
- Conducting routine data cleaning exercises before quarterly reporting periods.
- Monitoring appointment schedules and preparing reports relating to early, late, missed, and defaulting patients.
- Supporting facility managers and information officers with data-related activities.
- Submitting quarterly dispatch files to the next reporting level.
- Escalating system challenges, data discrepancies, and reporting issues to relevant supervisors.
- Performing regular backups of captured information in accordance with departmental policies.
- Maintaining confidentiality and protecting sensitive patient information.
- Providing general administrative support services when required.
- Ensuring compliance with all departmental data management policies and procedures.

Working Environment
The position is based within the Amajuba Health District Office and involves regular interaction with healthcare professionals, information officers, programme managers, and administrative personnel.
