The Position
The Administrative Assistant will provide administrative support to the Administrative Department as well as other Departments when needed. The position will assist with a variety of clerical and administrative duties and ensure the efficient and smooth day-to-day operations of the office.
Required Qualifications and Skills
- Grade 12 / Matric Certificate
- 1-2 years in an administrative or office support role
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) including file management
- Strong verbal and written communication skills
- Attention to detail and accuracy in data handling
- Proactive and resourceful with strong problem-solving skills
- Strong organisational skills with the ability to multi-task
- Excellent interpersonal skills with a strong client focus
- Good time management skills and ability to prioritise and manage tasks
- Meticulous with a good attention to detail
- Team-oriented with a willingness to learn and adapt
Responsibilities
- Efficient operation of answering all incoming phone calls and emails promptly and politely; assessing caller’s requirements; providing information to callers, transferring calls; taking messages; delivering messages to the relevant staff member timeously; monitor main line voice messages
- Collection of client documents and enquiring if documents outstanding; follow up final payments; record enquiries
- Capture information accurately and within the appropriate time frame
- Organize and maintain office records, files, and databases
- Assist with document preparation and data entry
- Maintain office supplies inventory and ensure timely restocking and oversee office equipment maintenance
- Manage incoming and outgoing deliveries
- Assist during training courses and CPD sessions
- Maintain the confidentiality of sensitive information at all times
- Perform other ad hoc duties as may be required
