What you will love doing in this role

The role of the administrator is to ensure all invoices are submitted and allocated correctly and to provide administrative and clerical services in order to ensure effective and efficient administrative operations.

Effective and Efficient Management of Accounts and Admin:

  • Accurate coding of all invoices
  • Submit invoices for payment on a daily basis
  • Keep copies of all authorised invoices

Effective management and control of petty cash:

  • Obtain approval for expenditure before payment is made
  • Maintain Petty Cash analysis book
  • Ensure cash draws are done to maintain a balance of at least R4000.00

Operations Administration:

  • Engage with the planning department and line managers to understand work priorities for the day/week etc. and assign tasks as per priority. 
  • Engage with the line manager to understand resource allocations for various tasks to ensure work is distributed appropriately.
  • Plans and produces a daily forecast work plan for the next day based on tasks and priorities and ensures daily goals are established at a person and task level.
  • Ensure an adequate pipeline of work available throughout the shift to avoid downtime. Manage up to line manager and planning department in the event of foreseeable issues.
  • Track operational metrics e.g. people UPM (units per hour) during the execution of tasks and escalate problematic performance to the line manager.
  • Assign work instructions (scanner or manual ) to staff
  • Timely allocation and closure of all Phoenix queries within SLA or escalation to line management in the event of likely SLA failure (Phonix = query management system).
  • Executes ad hoc tasks as per the business requirements.
  • Manage of all tasks created by the planning department and ensure all items are closed within SLA.
  • Update departmental VPM (visual performance management) boards in line with outputs.
  • Gain a high level of process and system knowledge to perform 1st line of troubleshooting for staff. Act as an escalation point for all system-related issues to WMS analyst and ensure timely closure of issues
  • Provide data and or reporting for daily, weekly, and monthly reporting requirements
  • Monitors the team and individual outputs in order to maximize the efficiency of the department.

Administration:

  • Timely and accurate administration of all departmental trackers pertaining to people and operational processes. These include but are not limited to attendance, absenteeism, leave registers, departmental data capturing eg performance, efficiency, effectiveness etc
  • Ensures that stationary and sundry levels are maintained at the agreed standard within the required timeframes.
  • Prepare weekly departmental presentations as per line
  • Provide data and or reporting for daily, weekly, and monthly reporting requirements
  • Records minutes and manages closure for minutes within agreed timelines
  • Ensure departmental numbers in line with budgeted/approved numbers
  • Provide inputs for the line manager for signing off of time sheets.

Requirements

What you’ll need to do this role

  • A minimum of Grade 12/Matric/NQF 4
  • A proven experience in Administration with a warehouse/ distribution environment
